Privacy policy
What we collect, why, who sees it, and how to make us stop.
Who is responsible
Mitch Distribution Ltd, trading as Clearance Depot, is the data controller for the personal data described here. We are registered in England & Wales under company number 15439156, at Unit 4, Church Farm, Hoxne Road, Eye, Suffolk IP23 7NJ.
For anything about your data, email sales@clearancedepot.co.uk or call 01206 804101.
What we collect and why
| Data | Why | Lawful basis |
|---|---|---|
| Name, email, phone, delivery address | To take payment, deliver your order and keep you informed | Performance of a contract |
| Order and payment records | Accounting, VAT, and dealing with returns, refunds and warranty claims | Legal obligation, and our legitimate interests |
| What you send via the contact form | To answer your enquiry | Legitimate interests — replying to someone who contacted us |
| Your cookie choice | To honour it and to evidence that we asked | Legal obligation |
We never see your card details. Payments go directly to Stripe, who handle the card data. We receive a payment reference and a confirmation, nothing more.
You can shop as a guest. We do not require you to create an account, and we do not run a customer account system.
Who we share it with
- Stripe — payment processing. Their privacy policy.
- Royal Mail — your name and delivery address, so your parcel can be delivered.
- Supabase — hosts our database, which holds order records.
- Vercel — hosts the website itself.
- Resend — sends your order confirmation and dispatch emails.
We do not sell your data, we do not share it for anyone else's marketing, and we do not build profiles on you.
Where your data is held
We choose UK or European hosting where our providers offer it. Some of those providers are US companies who may process data outside the UK. In those cases transfers are covered by the safeguards those providers put in place, such as the UK Addendum to the EU Standard Contractual Clauses.
How long we keep it
- Order and transaction records: six years after the end of the accounting period they fall in, which is the retention period UK tax law requires.
- Contact form messages: kept while we deal with your enquiry and for a reasonable period afterwards in case you come back to us about the same thing.
- Cookie choice: six months, then we ask again.
Your rights
Under the UK GDPR you have the right to:
- ask what we hold about you, and get a copy;
- have inaccurate data corrected;
- have data erased, where we have no continuing reason to keep it — note that we must keep order records for tax purposes;
- restrict or object to how we use it;
- receive data you gave us in a portable format; and
- withdraw consent at any time where consent is what we relied on, such as for optional cookies.
Email sales@clearancedepot.co.uk and we will respond within one month.
Complaining
If you are unhappy with how we have handled your data, please tell us first. You also have the right to complain to the Information Commissioner's Office, the UK supervisory authority, at ico.org.uk or on 0303 123 1113.
Cookies
What we store in your browser, and how to change your mind, is on our cookie policy.
